Tip Ledger collects information necessary to provide our tip distribution and reconciliation services. This includes:

  • Account information (name, email address, organization details)
  • POS integration data (transaction records, tip amounts, employee identifiers) synced from Square and Clover
  • Employee information (names, roles, hours worked) as entered by authorized administrators
  • Usage data (log-in times, feature usage, browser type)

2. How We Use Your Information

We use collected information to:

  • Calculate and distribute tips according to your configured rules
  • Generate compliance reports aligned with CRA controlled-tip regulations
  • Maintain audit trails for reconciliation purposes
  • Improve and maintain the reliability of our services
  • Communicate service updates and security notices

3. Data Storage & Security

All data is stored on encrypted servers hosted in Canada. We use industry-standard encryption for data in transit (TLS 1.3) and at rest (AES-256). POS integration tokens are encrypted before storage and are never exposed in application logs. We conduct regular security assessments and maintain strict access controls for all production systems.

4. Data Sharing

We do not sell, rent, or trade your personal information. We share data only with POS providers (Square, Clover) as necessary to maintain your integrations, and with infrastructure providers required to operate our service. We may disclose information if required by Canadian law or a valid legal process.

5. Data Retention

We retain transaction and tip distribution data for the duration of your account plus seven years to comply with CRA record-keeping requirements. You may request deletion of your account and associated data at any time, subject to legal retention obligations.

6. Your Rights

Under Canadian privacy law (PIPEDA) and applicable provincial legislation, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Withdraw consent for non-essential data processing
  • Request deletion of your data (subject to legal obligations)
  • File a complaint with the Office of the Privacy Commissioner of Canada

7. Cookies & Analytics

We use essential cookies to maintain your session and authentication state. We may use privacy-friendly analytics to understand aggregate usage patterns. We do not use third-party advertising trackers.
